Civil Service & Extra Help

Public universities in the State of Illinois are required to classify professional (non-academic), technical, and support staff according to established civil service categories. All staff jobs, except those determined by the Civil Service Merit Board to be administrative/professional in nature, are classified as civil service. To be considered for Civil Service Positions you must complete and submit an application and pass an examination.

Temporary extra help are civil service employees hired on a temporary basis to handle emergent excess workloads within a department. These employees may work up to a total of 900 hours. At that time, the employee must be terminated for at least 30 days before they can be rehired in another extra help position.

Civil service openings are sometimes advertised online; however, you should test for any EIU civil service classification in which you are interested before a vacancy occurs. Read about the hiring process to learn how the hiring system works for Civil Service.

By completing the application online, you will also be able to track your progress through our examination system, including your rank on registers and when you are eligible to take each exam again.

Position Summary:
Eastern Illinois University is seeking candidates for full-time Administrative Aide for the School of Technology. This position will be responsible for administrative support and operational coordination for a dynamic academic unit with multiple undergraduate and graduate programs. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple responsibilities in a fast-paced environment.

 

Essential Duties and Responsibilities:

  • Administrative Coordination & Support-Act as liaison between various university offices and external vendors.
  • Budget & Fiscal Management-Oversee all fiscal accounts, including appropriated, general revenue, gift, grant, and course fee accounts.
  • Academic Scheduling & Enrollment Management-Coordinate on-campus and online course schedules for six undergraduate and four graduate programs.
  • Web & Communications-Maintain and update school and program webpages using the Global Site Manager system.
  • Facilities & Inventory Management - Act as maintenance point of contact and ensure completion of work orders. 

 

Minimum Qualifications:

  • High school graduation or equivalent
  • Any one or any combination totaling five (5) years (60 months) from the following categories: 
  • College course work in business, finance, accounting or a related field:
    • 60 semester hours or an associate’s degree equals one (1) year (12 months)
    • 90 semester hours equals two (2) years (24 months)
    • 120 semester hours or a bachelor’s degree equals three (3) years (36 months)
    • A master’s degree or higher equals four (4) years (48 months)
  • Progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles

 

Knowledge, Skills and Abilities:

  • Excellent communication, organizational, and multitasking skills.
  • Strong problem-solving ability and attention to detail.
  • Proficiency in Microsoft Office Suite and data systems like Banner, Argos, and Astra.
  • Ability to work independently and collaboratively in a team environment.
  • Discretion and professionalism in handling confidential information.
  • Knowledge of general office practices and procedures
  • Knowledge of principles and processes for providing outstanding customer service.
  • Effective verbal and written communication.

Work Hours

The core work hours of this position are Monday through Friday, (8:00am – 4:30pm) Special summer hours. 

Salary/Pay Rate Range

$21.00- 22.89 per hour

Extra Help Shuttle Driver
Closes: Open Until Filled Category: Civil Service

Position Summary:
Eastern Illinois University is seeking service-oriented, student-centered individuals to fill a part-time 50% position for the Panther Shuttle Service. Drivers are required to operate various vehicles depending on need, with the primary vehicle being a 14-passenger bus with a GVW of less than 26,001. The shuttle service operates from late August to early May (with a summer layoff). The driver is responsible for transporting students to and from designated locations on campus and within the Charleston community according to the established schedule. This position requires excellent driving skills, an understanding of vehicle operation, and a commitment to providing exceptional service to all passengers. Applicants who are hired must pass a background check, physical, and drug test, and will be subject to random drug testing throughout employment. Essential Duties and Responsibilities:

  • Safely operate shuttle vehicles, ensuring the comfort and safety of all passengers.
  • Communicate effectively with passengers regarding routes, schedules, and any changes in plans.
  • Maintain a clean and well-functioning vehicle, performing routine checks and basic mechanical maintenance as needed.
  • Adhere to all traffic laws and regulations while driving, ensuring the safety of passengers and other road users.
  • Assist passengers with boarding and disembarking from the shuttle, especially those with special needs.
  • Keep accurate records of trips made, including passenger counts and any incidents that occur during transport.

Minimum Qualifications:

  • Valid class "D" driver's license with a clean driving record
  • Strong mechanical knowledge to handle minor vehicle issues that may arise during operations
  • Ability to drive safely under various weather conditions and navigate through different routes efficiently
  • Excellent interpersonal skills with the ability to provide outstanding customer service

Preferred Qualifications:

  • Experience as a delivery driver or van driver is preferred but not required
  • Previous experience in shuttle driving, school bus driving, or commercial driving is desirable but not required

Must be able to pass background check as required by Eastern Illinois University.

Salary: $16.00/hr with approximately 20-25 hours per week.

Food Court Supervisor

Position Summary:

The Eastern Illinois University Food Court is part of Panther Dining which is a division within Student Affairs that operates two residential dining centers, a food court, Panther Catering, a C-Store (Thomas Marketplace) and a coffee shop (Java B&B). We serve the EIU campus community and its guests with high-quality, efficient, and innovative dining options in a variety of settings. We add value to our customer’s on-campus experience by providing welcoming and inclusive dining facilities, high-quality food, and experienced and professional staff who care about those they serve and enjoy the relationships they build.

Our goal is to recruit and build a talented food service team here at EIU. We are seeking individuals that have a passion for food services, enjoys working with people and are looking for a great way to enter the industry. Working in food service offers many opportunities for advancement of your career, but it generally requires little in the way of skills and specialized experience to get started. This position is part of the AFSCME Local 981 bargaining unit, the second largest labor union on campus.

Essential Duties and Responsibilities:

  • General responsibility of the preparation of food for various university customers in a pleasing, safe and sanitary manner.
  • Supervises FC/SB Attendants & student workers.
  • Responsible for the timely preparation, set-up, clean-up and service of all food areas in the University Food Court.
  • Keep accurate records for the efficiency of the kitchen and to ensure that safety and sanitation regulations are met.
  • Responsible for inventory on hand that is needed for food preparation and records what needs to be ordered.
  • Run a register and handle cash and credit card transactions.

Minimum Qualifications:

  • High school diploma or equivalent.
  • One (1) year (12 months) of work experience in fast-food procedures.

Salary: $18.46 / hour. There is a $1.25 shift differential added to the above wage when working 2nd shift. You will also receive a free meal during your shift!

Office Administrator - Panther Dining

Position Summary:
Eastern Illinois University is seeking candidates for a full time Office Administrator, for Panther Dining. This position will be responsible for assisting the Associate Director for Panther Dining with duties such as: answering phone calls/questions from internal and external areas about the department. Researching and purchasing items for the department and verifying purchases and reconciling payments. Managing calendars, apparel inventory for dining staff. Processing travel applications/vouchers and making arrangements. Gathering data/information and preparing reports, contacts, companies and other university departments for requested information. Preparing agendas and attending meetings while documenting notes as needed. 

 

Essential Duties and Responsibilities:

  • Scheduling for the associate director and unit directors, ensuring all appointments, meetings and events are organized, establish guidelines and analyze work requirements for administrative staff 
  • Communicate with internal and external stakeholders to address departmental needs and resolve issues; provide guidance and clarification on administrative and programmatic policies and procedures, ensure completion and follow-up of required documentation
  • Receive and respond to incoming correspondence, providing clarification of unit policies as needed
  • Manage and safeguard confidential documents, including personnel records
  • Coordinate organizational activities and travel; gather and provide information to the associate director, unit directors and internal/external stakeholders, interpret and clarify reports, billing, and data as needed
  • Represent the unit at meetings and conferences; support agenda preparation, document discussions, and distribute notes for staff meetings
  • Prepare reports and budget projections; gather requests, research items, handle purchase requests for supplies, equipment, and apparel, support requisition creations, P.O. processing and inventory management within Panther Dining units
  • Authorize and monitor fiscal transactions, ensuring overall financial control; collaborate with unit directors to manage purchases of supplies and food through P-card transactions outside of larger purchase orders
  • Compose and review correspondence for the associate director, synthesizing various subject areas and handling technical or confidential material; manage and respond to correspondence for staff and other departments
  • Maintain awareness of key organizational activities impacting the unit; implement office procedure changes to improve efficiency
  • Conduct research and prepare reports by evaluating and synthesizing information from various sources; assist with proposal preparation and coordinate department travel including paperwork, budgeting and schedule management
  • Participate in the analysis and implementation of office information systems, develop procedures and recordkeeping systems; answer questions and resolve issues by interpreting and explaining policies and procedures to internal and external stakeholders
  • Performs other related duties as assigned

 

Minimum Qualifications:

CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

  • High school diploma or equivalent.
  • Any one of the following from the categories below:
    • Four (4) years (48 months) of work experience comparable to the third level of this series.
    • Two (2) years (24 months) of work experience comparable to the fourth level of this series.

 

Knowledge, Skills and Abilities:

  • Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, and coordination of people and resources.
  • Knowledge of administrative and administrative procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  •  Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

A Pipefitter (Refrigeration Mechanic) typically -

  • Perform duties specific to and are normally required in the pipefitter trade, following recognized procedures and techniques for such work.
  • Performs work needed to fabricate, assemble, install, or repair pipe systems, pipe supports, temperature control devices, and related hydraulic and pneumatic equipment for steam, hot water, heating, cooling, lubricating, sprinkling, and industrial production and processing systems.
  • Performs associated work by utilizing oxyacetylene or electric welding processes.
  • Diagnoses, repairs, and/or overhauls refrigeration equipment (such as compressors, evaporators, condensers, pumps, cooling towers, and heat exchangers), refrigeration systems, and/or temperature control systems (such as thermostats, relays, damper motors, pneumatically operated valves, small air compressors, fiber optics, and/or direct digital control systems).
  • Assists in the preparation of material orders for the purchase of equipment or repair parts.
  • Assists in the preparation of estimates for projected overhaul, repair, or replacement of equipment or repair parts.
  • Maintain records and prepare reports on complete repairs or on units requiring future special service.
  • Assists engineers in planning modifications and/or new installation projects.
  • Makes assemblies or sub-assemblies thereof for installation by others.
  • Completes installations assembled by others.
  • Cuts and assembles such work from sketches, diagrams, detailed drawings, or specifications.
  • Comply with accepted safety standards.
  • Assigns and directs the work of apprentices.
  • Performs other related duties as assigned.

 

Minimum Qualifications:

  • Certificate of completion of Pipetrade apprenticeship under a registered Bureau of Apprenticeship and Training program.
  • OR
  • Experience sufficient to qualify as a journeyman Pipefitter or other Pipetrade classification with a minimum of five (5) years (60 months) of actual work in the trade, which may have included apprenticeship and/or applicable vocational training. The trade for this purpose shall include work normally performed by Pipefitters, Pipefitter Welders, Refrigeration Mechanics, Temperature Control Mechanics, Sprinkler Fitters, and/or Oil Burner Mechanics.

 

Knowledge, Skills and Abilities:

  • Knowledge and ability to perform manual labor or mechanical operations (construction, installation, repair, and maintenance) customarily performed in the pipefitter trade.
  • Knowledge of machines and tools, including their designs, uses, repair, and maintenance.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of human resources and supervisory activities, including the coordination and management of people and resources.

Police Officer - Lateral Transfer

Position Summary:

The State University Civil Service System for Illinois now allows Eastern Illinois University to maintain a lateral transfer list for Police Officer positions.  Interested law enforcement officers will be required to submit an application to be considered for this list.  Applicants must be employed as a law enforcement officer from outside of our State Universities and employed at either a municipal law enforcement agency, a county sheriff’s office, Illinois State Police, or a similar municipal public safety department.

Essential Duties and Responsibilities:

  • Be an Illinois resident or agree to become a resident of Illinois within 180 days after following the date of his/her appointment.
  • Demonstrate at least two years of full-time law enforcement work experience. (Required duties assigned must have included: making arrests, enforcing laws, investigating crimes, responding to calls for service, using discretion as part of the assigned duties, and carrying firearms.)

This position will be responsible for supervising and/or perform skilled mechanical work in the operation and maintenance of all the Gas/Oil boilers, Biomass, generator and related support equipment to produce reliable steam to the University campus.

 

Essential Duties and Responsibilities:

  • Supervise, monitor one or more gas/oil/biomass high pressure steam boilers and electrical generators
  • Operate and maintain Emissions Systems
  • Supervise maintenance of equipment including pumps, generators, conveyors, boilers pipes, air compressors, etc. that are all supportive of the steam production operation
  • Document shift activities in our log sheet, computer maintenance for future reference
  • Perform boiler water chemical analysis, maintaining appropriate chemical balances
  • Troubleshooting and take appropriate corrective action for the longevity and performance of boilers
  • Operation of the soft water make-up system
  • Operation of fuel feed and waste
  • Performs other related duties as assigned.
     

Minimum Qualifications:

  • High School diploma or equivalent
  • Two (2) years (24) months of work experience in the maintenance and operation of steam and power plant equipment.
  • One(1) year (12 months) of work experience in a position comparable to the Steam and Power Plant II.
  • Possession of current/valid licenses and certificates, as required b the employing institution.

  • Knowledge of machines and tools, including their design, uses repair, and maintenance; power plant equipment, steam-generating equipment, and pollution control devices.

Salary/Pay Rate Range

The starting pay at this time is $35.57 per hour, after six months the employee will be paid $38.57 per hour. At the completion of one year employment the employee will be paid $40.57 per hour at this time. This is a bargained pay scale and will change as the contract states.

There is a shift premium for second and third shift of $1.50 per hour.

Eastern Illinois University is seeking an Associate Director or Director of Strategic Engagement. The primary responsibility of this role is to engage key stakeholders, alumni, and constituents to advance the mission of the College of Education and strengthen community connections. This position oversees all external relations, including marketing, communication, and recruitment efforts, to enhance visibility and support for the College. Additionally, the role provides strategic support to the Dean in advancing the University’s mission. The position reports directly to the Dean of the College of Education and serves as a key liaison to University Advancement.

Duties and Responsibilities:

  1. Lead the planning, execution, and promotion of initiatives to foster alumni engagement, cultivate annual giving, and enhance the visibility of the College of Education. Represent the College at University events to build relationships with key stakeholders.
  2. Oversee all marketing and external relations efforts, including managing social media, newsletters, greeting cards, press releases, and special communication projects to strengthen the College’s brand and outreach.
  3. Serve as the primary liaison between the College of Education and University Advancement, aligning the College’s annual giving initiatives and alumni activities with broader campus fundraising efforts. Plan fundraisers and manage College-led stewardship practices.
  4. In consultation with the Associate Dean, oversee and participate in recruitment efforts for academic programs.  Some overnight and distance travel required.
  5. Recruit members, coordinate meetings in collaboration with the Dean and Board President and provide ongoing support for the College of Education Board of Advisors.
  6. Monitor the scholarship process to ensure timely awarding and assist with donor stewardship to strengthen support for College based scholarships.
  7. Supervise various student personnel.
  8. Perform other duties as assigned to support the College’s mission and strategic goals.

  • Develop and execute strategies for assigned unit(s) that will support unit philanthropic priorities and successfully increase major gift support.
  • Develop and maintain close collaborative partnerships with assigned units to gain a strong understanding of programs and initiatives to identify and define opportunities for private support.
  • Collaborate with stewardship and engagement colleagues on developing strategic engagement plans for key alumni and donors.
  • Develop and maintain close collaborative partnerships with campus and unit colleagues to ensure a strong baseline knowledge of campus, college, and unit programs and priorities and an ability to devise and execute sound prospect strategies for philanthropic opportunities.
  • Participate in advancement strategy meetings, assisting colleagues and providing support for all ongoing programs and operations as needed to help meet the fundraising goals.
  • Document all activities, interactions, and other relevant data in the alumni/donor database.
  • Serve as the point of contact for assigned units for all fund administration and management questions.

The candidate may be expected to evaluate students in field experiences and foster professional relationships with our partners in local area schools. Successful candidates need to be committed to providing current and future educators with the knowledge, skills, and dispositions to meet the challenges of 21st century classrooms. Candidates must know current state and national standards, understand educational theories and best pedagogical practices in PK-12/secondary education, integrate educational technology into their teaching, demonstrate a history of collegiality with fellow faculty members and cross-disciplinary collaboration, and demonstrate professional written and oral communication skills. Teaching assignments may include undergraduate &/or graduate- level courses utilizing online, on-campus, or hybrid formats. Additionally, the candidate will be expected to lead departmental recruitment efforts to continue to build the Career and Technical Education program.

QUALIFICATIONS: The educational/experience requirements for this position are as follows:

Required:

  • Master's degree from an accredited university in Career and Technical Education or closely related field.
  • Minimum of three years of teaching experience in grades 9-12 public school settings.
  • A demonstrated commitment to diversity and inclusion. 

Preferred:

  • Experience teaching online.
  • Experience working with PK-12 students
  • Experience teaching at the college/university level, including supervising and evaluating preservice teachers in field placements/ developing and maintaining partnerships between public schools and universities.
  • Experience teaching reading/literacy integration in content areas.

Salary/Pay Rate

The collective bargaining agreement sets a wage at $35,388-$42,499.98.

The Department of Chemistry & Biochemistry at Eastern Illinois University invites applications for an AY25-26 full-time instructional position. Duties begin August 20, 2025. A Ph.D. in chemistry or a closely related field is preferred. Teaching duties will include lecture and lab courses in the two areas of general/general education and organic chemistry, with other courses as needed and with necessary expertise in the area. Previous teaching experience is preferred.
